Document Control Administrator

KGS Group is seeking a Document Control Administrator in our Winnipeg Hydrotechnical Group with junior to intermediate experience managing and organizing the workflow of documents for multidisciplinary engineering projects involving planning in design of water resource infrastructure, hydroelectric projects, or heavy civil construction to join our well-established, Winnipeg Office.

The Role

As KGS Group continues to develop strong technical delivery teams, we are looking to add support with a focused document controller to support our large water resource projects.  This role would provide an exciting opportunity to work on large projects for water resources and hydroelectric projects. You would be dedicated to one or two large ongoing projects to provide day to day support. This role would focus on the document life cycle of all deliverables related to the project ensuring compliance of procedures, tracking of deliverables, working in collaboration with administrative and coordination staff, all while meeting project deadlines.    

Your Key Responsibilities:

  • Produce, update and provide best document control practice support on documents, databases and other departmental systems to support the work of large-scale projects.
  • Ensure Document control procedures are followed supporting KGS Integrated management system (IMS) with a focus on compliance with controlled document formats and content.
    • This includes version control on documents and drawings, naming conventions and revision updates,
  • Use appropriate tools and systems when receiving, tracking and monitoring technical drawings and documentation.
  • Processing and controlling engineering documents in accordance with established guidelines and client specific procedures.
  • Experience with Aconex, SharePoint, Microsoft Teams, TeamBinder, Procore and AutoCAD Cloud are considered an asset.
  • Tracking and monitoring day-to-day document control activities to organize and align information with established policies, procedures, and project requirements.
  • Monitoring documents throughout the review processes.

Other responsibilities may include the following:

  • Provide administrative support for the development of letters, reports, and proposals.
  • Administrative support services to project managers and other staff members
  • Formatting and typing letters.

About You

  • To fill the role, we’re looking for an applicant to bring forward a good mix of qualifications and previous experiences. Some highlights could include College or University Diploma/Degree in Administration/ Project Management.
  • Experience in an engineering consulting or construction environment is considered an asset.
  • Experience with Aconex, SharePoint, Microsoft Teams, TeamBinder, Procore and AutoCAD Cloud are considered an asset.
  • Excellent written and oral communication skills are essential.
  • Be able to manage tight deadlines and changing priorities while being able to multi-task.
  • Have excellent organizational, interpersonal, and communication skills
  • Ability to build relationships and collaborate with employees and senior management
  • Candidates local to the Winnipeg area strongly preferred. Regular attendance at a KGS Group office is expected to strengthen the mentorship and development of staff.
  • Proficiency in both French and English is an asset.
