KGS Group is looking for a Project Coordinator to join our Winnipeg Hydrotechnical Group with a minimum of 0-3 years of experience in coordinating and managing day to day workflow for multidisciplinary engineering projects involving planning and design of water resource infrastructure, hydroelectric projects, or heavy civil construction to join our well-established, Winnipeg Office.

The Role

As KGS Group continues to develop strong technical delivery teams, we are looking to support our teams with focused project coordination support.  This current role would assist with many of the day to day project management tasks for large water resources and hydroelectric projects. The work consists of managing day to day deliverable workflow and tracking amongst multidisciplinary technical staff, clients, and constructors to meet project deadlines and outcomes. Other key responsibilities include Health and Safety coordination of field staff, equipment, and training; various tasks in the technical, administrative and document control field; and taking leadership to expedite assigned tasks amongst the team.   

You will work on assigned projects under the guidance of Intermediate to Senior Engineers and Technologists while collaborating with various disciplines.  You will work within the project management team working with Project Managers, Senior Project Coordinators and our document control team. Working in a team environment, you will ensure projects are completed within allotted schedules and budgets, and up to high quality standards.

Your Key Responsibilities:

  • Assist ongoing construction projects with construction support and assist in preparing, reviewing and coordination submittals to meet project timelines. This will include:
    • Maintaining an organized and efficient document registry and filing structure to assist staff in efficiently locating key documents and completing review.
    • Review technical content of submittals to assign staff and facilitate coordination.
    • Assisting with and coordinating project workflow.
    • Working with document control staff, engineers, and technical staff to expedite deliverables.
    • Managing and providing input to project document control frameworks.
    • Participation in Technical Meetings including scheduling, agenda preparation and recording technical meeting minutes.
    • Periodically travel to site for meetings client meetings and various activities which may include assisting senior engineers and technologists carry out site inspections. Sites may include locations throughout Canada and the United States.
  • Coordination and support for site resources including scheduling, safety requirements, accommodations, trip planning, and other day-to-day support.
  • Opportunity to participate in review of technical deliverables against project specifications and standards pending qualifications and experience.
  • Assist with preparation of project, client reporting, Monitoring project expenditures, budgets, and reviewing invoices.

  • Preparation of deliverables for projects including reports, calculations, drawings and/or specifications.
  • Keeping the project team and department managers advised of work progress, challenges, and issues.
  • Assist in the preparation, development, and write-up of proposals.
  • Participating in mentorship and professional development.
  • Coordinating and communicating with external consultants and vendors as required to ensure smooth project delivery.
  • Helping to maintain strong relationships with clients.

About You

To fill the role, we’re looking for an applicant to bring forward a good mix of qualifications and previous experiences. Some highlights could include:

  • Education in one or more of the following: An Engineering Technology Diploma, Completion of the Construction Management Program, or a Project Management Training certificate with credentials and experience as a project administrator or project manager, or equivalent.
  • 0-3 years of relevant experience required, preferably in an engineering consulting or construction environment. More experience is considered an asset.
    • Existing construction experience including field inspection would be considered an asset.
    • Experience in the water resource and hydroelectric field with heavy civil projects is an asset.
  • Must be able to effectively participate at project meetings and communicate project and technical information.
  • Excellent written and oral communication skills are essential. Must be able to write and proof-read reports, business correspondence, and procedure manuals and to effectively present information and respond to questions from managers, clients, colleagues, and the general public.
  • Availability to periodically travel to project sites on an as required basis.
  • Strong proficiency in Windows and Microsoft Office (Excel, Word, PowerPoint).
  • Experience with Aconex, SharePoint, Microsoft Teams, TeamBinder, Procore and AutoCAD Cloud are considered an asset.
  • Experience with Microsoft Project and P6 is considered an asset.
    • Highly proactive.
    • Must possess a valid driver’s license and the ability/willingness to undergo security clearance checks.
  • Candidates local to the Winnipeg area strongly preferred. Regular attendance at a KGS Group office is expected to strengthen the mentorship and development of staff.
  • PMP designation or desire to obtain in time considered an asset.
  • Proficiency in both French and English is an asset.
