Receptionist/Administrative Assistant

The Role

The successful candidate would be responsible for managing the front desk, greeting office visitors in an efficient and courteous manner and providing administrative and general office support.

The ideal candidate will be professional and reliable with a team player attitude. Excellent organizational and interpersonal skills, as well as punctuality and fluency in the English language with strong verbal and written communication skills are required.

Responsibilities include:

  • Providing administrative support for the development of letters, reports and proposals in accordance with company templates and quality procedures.
  • Logging, transmitting and receiving documents through the document control software interface following established operating procedures and work instructions.
  • Receiving and sending out courier packages and general office mail.
  • Ensuring there is adequate inventory of office and kitchen supplies, ordering supplies as required.
  • Greeting visitors and receiving phone calls.
  • Event planning for conferences, training activities and special events.
  • Maintaining promotional items inventory.
  • Processing invoices for approval and payment.
  • Support staff in the preparation of travel arrangements.
  • Maintaining general cleanliness of main areas such as the lobby, staff kitchen, and conference room.
  • Maintaining office equipment.
  • Organization and maintenance of our in-office library.

About You

To fill the role, we’re looking for an applicant to bring forward a good mix of qualifications and previous experience. Some highlights could include:

  • Minimum of 2 years of administrative or related experience.
  • Post-secondary certificate/diploma in an administration or business field is preferred.
  • High level of proficiency with Adobe Acrobat and Microsoft Office suite, especially Word and Excel, is essential.
  • Previous experience working with document templates and styles in Microsoft Word is an asset.
  • A professional manner combined with the flexibility to multi-task and meet deadlines and changing priorities.
  • Ability to work in a team environment with strong collaborative skills.
  • Ability to learn new systems and adapt to change quickly.
  • Excellent organizational, interpersonal, and communication skills.
  • Ability to build relationships and collaborate with employees and senior management.

Hours of Work:   40 Hours/per week
