Senior Documents/Proposal Specialist
KGS Group seeks someone with a strong interest in all things Microsoft Office to join our Business Development System & Pursuits (BDSP) group as our Senior Documents / Proposal Specialist. In this integral role, you will have the opportunity to work in a skilled team to produce high quality templates, proposals / fee estimates, and other business development materials, in a timely and efficient manner.
The successful candidate could be on-site or hybrid from any KGS Group Canadian location. Remote work is negotiable for the right candidate.

The Role
In this role you will be a key member of the core pursuit team, and as the ‘go to’ for updating and creation of corporate templates, you will:
- Create, update, and maintain proposal-relevant and specific-use templates with styles, macros, and branding. Take initiative to learn new programs and train internal staff as appropriate.
- Work expertly in Excel to create pivot tables, graphs, and charts.
- Contribute to the creation of logs and databases.
- Compose material and information, type and design general correspondence, memos, charts, tables, graphs, business plans, reports and documents relating to client, project, and professional matters.
Work at a high level of competence and word processing capabilities to:
- Shred bid request documents (i.e., RFP / RFI / RFQ / etc.) and build initial response templates to ensure responses are fully compliant with listed requirements.
- Coordinate proposal production to gather, research, and assemble all required documentation and information from relevant parties / sources, maintaining responsibility of the full document with direct responsibility for the corporate elements (i.e., firm overview, personnel bios and resumes, project experience, compliance requirements, etc.).
- Under direction of the Proposal Manager / BDSP Senior Personnel coordinate the technical elements (i.e., methodology, project understanding, schedule, fees, etc.).
- Proofread copy for spelling, grammar, clarity of meaning, and formatting consistency, making appropriate changes, or providing appropriate feedback to document originator.
- Prepare document(s) for submission.
- Contribute to continuous learning and growth through internal and external post-mortems and debriefs.
About You
About You. We’re looking for prior experience specific to proposal development. A high level of attention to detail and an ability to meet deadlines are extremely important keys to success in this role. Here are some ideal qualifications for this role:
- Post-secondary education in Business Administration or similar discipline is an asset.
- Minimum of 5 to 7 years’ experience in a senior support role.
- Superior knowledge and experience utilizing full Microsoft Office 365 suite including SharePoint Teams, Adobe Acrobat. (required)
- Must have excellent organization skills, have superior attention to detail capabilities, able to prioritize and multi-task, show initiative and resourcefulness to get things done.
- Self-motivated and driven to manage own workflow / outputs.
- Willingness to ask questions and seek out answers.
- Capable of adapting to changing priorities in a very dynamic work environment and demonstrate the ability to work in stressful situations with critical deadlines (evening and weekend work may be required to meet deadlines).
- Graphic editing software experience would be an asset.
